WebPT Review by Physical Therapy clinic
I use WebPT daily because I get authorization for the patients that are doing Physical Therapy in our clinic. I review the notes and use the information to submit my authorization requests. We see approximately 20-30 patients a day so I'm looking over a lot of WebPT therapy notes.
Pros
It has very clear templates and it's easy to find information. The records are very easy for even a layperson to understand, but thorough enough that the insurance companies easily provide authorization for services. Even when we need to have a substitute from an agency they are able to plug the information into the note and keep to the format we are used to thanks to WebPT
Cons
I don't like that it costs money to integrate each aspect separately, we currently have an account you can't use for billing. I also can't see the calendar view so if the name of a patient is misspelled it's hard to pull up their account.

Meets All Your PT Needs
Over all it was a good experience. I would not be opposed to using it again.
Pros
Web PT made documentation needs easy and direct even for those new to charting. The templets available to craft notes and documentation requirements is better than other platforms used.
Cons
I did not like that the Thera bill feature was not all in one platform. Although the two are linked is not very convenient to use another web-based system to submit claims.

Will never recommend it to anyone
My experience with WebPT has been challenging, particularly due to issues with their customer service. While their product itself is decent, the constant turnover in staff led to a lack of consistency in communication. Over our three years with them, we encountered multiple billing errors that went unresolved, resulting in financial losses for our business.
Additionally, there were issues with their billing process. Despite providing our credit card for monthly payments, they failed to charge it for several months without notifying us. When they eventually realized their mistake, they demanded a substantial lump sum payment without offering a reasonable payment plan. It took numerous frustrating calls and hours on hold to finally establish a payment arrangement, only to find that our payments were not being properly credited to our account.
Despite ongoing attempts to resolve these issues, including stopping payments while awaiting resolution, we received no notice before they abruptly discontinued their services. Their mistakes and lack of accountability have significantly impacted our business, leading to unnecessary stress and financial strain. Furthermore, their decision to send our account to collections was unwarranted and further exacerbated the situation. Overall, the lack of professionalism and accountability from WebPT has severely affected our trust in their services.

Less of The Evils, But Still Room for Improvement
Overall I still like it more than other EMR and documentation systems I have used, but feel there is still plenty of room for improvement.
Pros
I like the view options between days/weeks at a time. I enjoy how easy it is to locate tabs and input data.
Cons
I cannot stand the frequent glitches, system outages, and the "smart text" input that erases all typed data (happened to me 4 times today already). It negatively affects the daily workflow, delays documentation significantly and can put a clinician behind all day due to the aforementioned issues.

Warning about WebPT!
Pros
The scheduling feature and automatic reminder texts/emails.
Cons
The connection between their partner software (Theraplatform) often omit superbills, so unless you're comparing them both daily, you won't end up submitting all of your claims. This results in missing revenue. When you try to switch clearinghouse companies, they turn off your connection to the original clearinghouse prematurely and piecemeal tasks you need to do before they will start a new connection. This results in very delayed revenue. They are very slow to respond while you sit around and wait for a connection to be made.

WebPT Review
My experience has been good overall with a few things to complain about, but overall it's a good experience.
Pros
I like the ease of use of WebPT. I like the non-contract nature (month to month basis). I like how professional the documentation looks.
Cons
I don't like the adding physician feature and adding insurance feature. It's not as fluid as I would like. I also don't like that at times discharged cases show up upon logging in under a client's name if they have multiple cases on file. I called WebPT to try to address this so that only the current case pulls up first so that we don't have to toggle back to current from a discharged case, but that was to no avail as no one was able to get me an answer. I don't like that patient's cannot book their own appointment's through a public portal.

Easy access to information
We solve issues with documentation. We can produce patient charts to patients or agencies that need them quickly. It has been a boon for this reason!
Pros
The product is easy to use and integrates almost seamlessly with Therabill. Additionally, having all patient information in one application versus many is ideal to providing the patient the best possible care.
Cons
Sometimes the reminders do not get sent to patient and following updates WebPT is sometimes down for significant time.

Don't use it!! Frequent outages. Poor communication when things are not working.
Poor. You loose a lot of productivity due to frequent outages.

It works like any other EMR. nothing special.

Frequent outages. No or poor communication during outage. Everything is an add on. Expensive for what they offer. On average 300+ per clinician.

An EMR riddled with bugs and the worst customer service experience ever
On a scale of 0-10, I would give it a 1/10.
Pros
Its user interface was fairly easy to use.
Cons
The customer service experience was the area of greatest frustration. They have an on-line chat option that is really only useful for answering frequently asked technical questions. Where there is a major problem with a customers account, they have no authority or power to help correct the situation. When you call and get one of their "member services" rep, it's the same experience. My issue had to do with my transition from WebPT to Prompt. I had been a long time WebPT customer. As I grew and needed functionality out of WebPT that they did not offer, I began looking around for other EMR companies. After settling on Prompt I immediately informed my client success manager that my plan for transitioning from WebPT to Prompt. I informed him that I would remove all but 1 therapist license from WebPT and Therabill so I could continue to work my accounts receivable. This notification came 6 weeks prior to when I needed the change to take place. On [sensitive content hidden] I was over charged by $7,000. I called immediately and requested a refund. I was told I could not speak with anyone from accounting at that time and that a member services rep would reach out to me. I continued to call and email over the next 4 weeks and didn't get my refund. Finally, after reaching out to [sensitive content hidden] on LinkedIn I was connected with someone that helped me get my refund. Now on a separate issue I am experiencing the same run a round.
Beyond their horrible customer services, they have some serious flaws in their software. Their reporting and KPI features are seriously flawed and give in accurate information. Their POC report is seriously flawed. Therabill's billing reports are lacking sophistication and basic functions of a billing software. I used their "Reach" software for years for their google review generator and had minimal success. In 1 month with Prompt I have gotten more review on google than I did in years with WebPT.
DO NOT WASTE YOUR TIME OR MONEY WITH WEBPT.

WebPT is a good program.
Overall, my experience has been slightly above average.I have had a bit of trouble with the fees. I have called and the associate has told me to do one thing but then I call back and I am told to do another.
Pros
I like that Therabill is integrated into the WebPT platform.
Cons
I have a few things that I dislike. 1. I very much dislike that SMART PHRASE is unavailable. 2. I dislike that the price of my package increases frequently. 3. I do not like the frequent glitches. For example, all the sudden it no longer lets us chart up to the 10th visit for Medicare. It stops us at 9 and will not allow a daily note on the 9th visit. It demands a Progress note. 4. I do not like that when I have to cancel a client, it disappears from the schedule completely. It makes it difficult for future scheduling for the following week. It would be great if it would just fade out and say "cancel".

Not pleased with the product for past three years.
It has been worse for the last two years.
Pros
I liked it was easy to use as a PT. I orginally liked how I was assigned a go to person to help with our account. That ended in 2019.
Cons
therabill is difficult to use, carryover from webpt is not as smooth as it should be, over priced, poor customer service. I liked the costomer service from using it from 2010 to 2019. Ever since covid the costomer is terrible in response time, getting a hold of and helping.

Good at some things. Bad at some things. Could be the best.
The documentation is fairly quick and efficient, however, it could be improved.
Pros
WebPT is easy to use and document. The HEP is a good adjunct.
Cons
The developers are slow to address known issues and have increase price citing that they have had to make updates. They have devoted significant resources to ensuring that they meet DEI requirements while neglecting issues that impact patient care.

I work for a small, privately owned outpatient practice with three clinic sites. We recently began using WebPT. Over the course of my schooling and employment, I have used approximately six or seven different EMR programs. Overall, I would rate WebPT in the top three or four of those programs. They are doing a number of things right, but leave much to be desired.
I think WebPT's biggest downfall is its lack of efficiency, which, at times, is costing our clinicians valuable treatment time with our patients. There are a number of extra steps that one must take in order to complete documentation on initial evaluations, flowsheets, and home exercise programs. Below are a list of some of the problems we have experienced along with suggestions for improvement.
1. When creating IE templates, we are currently unable to view the details of the tabs we are selecting. If the details of selected tabs end up being different than expected, we must later go back and modify the template after we perform the eval. To fix this, enable viewing of IE tab details when creating templates.
2. When entering diagnosis codes, the search bar does not always register keywords, making it difficult to quickly find appropriate diagnosis codes. To fix this, improve search capability in the diagnosis code box. (e.g. - enter keyword "shoulder" and all diagnoses with "shoulder" pop up).
3. We have experienced issues with notes not saving (or not formatting into a PDF document) due to using symbols (e.g. - &, #, *, /, -) in our documentation. To fix this, enable the use of symbols without need for extra spacing to improve efficiency of use for clinicians.
4. It is difficult and time-consuming to find specific exercises in the flowsheet and home exercise program due to the search bar requiring a very specific order/combination of words. Improve search capability in flowsheet and HEP (e.g. - enter keywords "shoulder AAROM" and all exercises with those words in no particular order should pop up). If WebPT is unable to do this, then at the very least provide a paper copy of exercises with their titles (in categorical or alphabetical order) to clinics for use as a quick reference.
5. When you are able to find exercises in the HEP, the results page requires you click a tab to see the remaining exercises. To fix this, get rid of the "see more results" box in the HEP, and simply have all exercises appear on one page.
6. The flowsheet and HEP do not link to one another. If they did, developing a HEP would be much more efficient. We are currently doing twice the work when we have to search for exercises in the HEP after we already listed them in the flowsheet. (As discussed in #4, this is a time consuming process). To fix this, provide an option/tab to carry exercises from the flowsheet to the HEP. Also, enable a feature to view exercises in the flowsheet before selecting them (to ensure we are ultimately selecting the exercises we want on patients' HEPs).
7. We are currently unable to share HEP templates with other clinicians unless each clinician searches through other therapist's patient records to find a previously created HEP template. This is impractical and inefficient. To fix this, provide an option for us to create HEP templates that may be shared by all clinicians. (e.g. - an option similar to the public IE templates).
8. There is currently no option to add photos of customized exercises that are not found on WebPT. To fix this, add an option for us to upload our own photos for use in our HEPs.
9. When adding exercises to flowsheets, they do not stay in a consistent order. Therefore, clinicians end up scrolling up/down the flowsheet repeatedly to find the exercise that was added. Furthermore, after we order exercises they fall out of order if we then add further exercises. To fix this, default placement of exercises to the bottom of the flowsheet when they are added in order to improve organization and efficiency .
10. If autosave is on when the flowsheet is previewed (but not finalized), it duplicates the charges for the same date of service when we attempt to add further exercises. Therefore, we must go through and delete each exercise for one date of service before finalizing the document in order to avoid doubling exercise minutes. To fix this, enable us to preview flowsheets without incurring changes to them.

WebPT destroyed a portion of my patient's medical documents
WebPT is the first EMR that I have used for my office. First of all it is not cheap and it makes me frustrated that I am not getting what I am paying for. My account is never credited if there are server issues and/or other problems that occur and are not resolved. They just give you empty promises the problems will be fixed and hope that you will eventually forget about them.
Pros
WebPT allows me to get my daily notes done in a more timely fashion and it works well with my billing company so billing is done on a daily basis.
Cons
WebPT has problems and when you call to make them aware of the problems if it is of a simple nature it will be taken care of but if it is of a difficult nature it will not be taken care of. I have reported problems to them a couple of years ago and they continue to occur and they have never been fixed. More recently they are having problems with documenting cancellations and no shows which they were not even aware of. I made them aware of the problem and they claim it will be referred to their Tier Two team and it has been a month or longer and the issue has not been resolved and eventually it is just ignored. So I lost a portion of my patient's chart and it cannot be reviewed and/or recovered. Their faxing capabilities only work with a small amount of information but patient's charts depending on how long the patient is seen can be a large amount of information and I have to figure out another way to get the requested documentation another way such as burning it to a disc. Initial evaluations take hours to put in and that is not efficient! There are times I sit on the phone waiting for them to respond to my call and I have been on the phone for 30 minutes or longer! I have more complaints but I do not have the space or the time to sit here and type all of those issues up for you to read.

Poor Customer Service, Very overpriced compared to other options
Poor to Fair. Even when we were customers the service side was not very good.
Pros
It is designed for physical therapy, so that is helpful. THE software is good, the customer service is not.
Cons
When we transitioned from WebPT to a different provider, they were very unhelpful in the transition, to the point of with holding our export of records, not returning phone calls or emails and being very dismissive and almost ellusive about what we needed to do to make a smooth transition to a new company. No one likes customers to leave, I realize, however I would have expected a more professional approach.

WEBPT TOPS the EMR LIST
I was one of the original 100 members of WEBPT and I could not have advanced my practice without it, what 10 years ago? (not sure how long its been) and surely could not survive without it now. The ongoing onslaught of insurance changes, branches, etc etc., especially Medicare, PQRS, G Codes is challenging enough but would be unsurmountable without WEBPT. I love the webinars for education and the new program Rehab Nation to keep us in touch and involved. I love the store with discounted items in which believe me, I have checked around and there are some good discounts at the WEBPT STORE. I am a critics critic and expect quality and customer service, each of which I have received with WEBPT. Thank You.!

Very Pleased Customer
We are very pleased with WebPt. It is used all day, every day by all of our employees. The software is easy to adapt to from the very beginning. You would have to look really hard to find another software package for medical records to even come close to comparison.
Pros
the software is very easy to navigate from screen to screen. Everything you need is so neatly arranged for each patient. In the event I ever have an issue, the support team is always very eager to solve the issue and they are almost always patient and kind.
Cons
There is very little not to like about the software from WebPt. I really can't think of any thing at all to say negative about it.

Using WebPT in a private practice.
Once I got used to the system documenting was a breeze. I will be honest it takes time getting used to each EMR but WebPT was pretty quick. I had in down in a couple weeks. The first few weeks though were frustrating and I was not sure why we were using this new EMR, but after I became proficient I was glad we got it.
Pros
I love that the software can combine scheduling, billing, and documentation. This saved us a lot time. I really enjoy that you can load specific plans in the objective form. For example a form for a RTC tear will be very different from a TKA. So being able to make customized plans for specific diagnosis saves time and saving time documenting means you get to spend more time with each patient.
Once a note is done you can easily access it for each patient that is simple and easy to read in the classic SOAP note format. I love that I can access their database from any computer with a secure login.
Cons
The software can be repetitive with some of the boxes that you need to check. I will be honest I get too many emails from them but I don't want to unsubscribe because about 2/5 are very important ones with updated information for the software.

Best that is currently out there
I really enjoy using WebPT and they seem open to suggestions and changes and often update their software once they have created improvements.
Pros
I find WebPT to be the most user friendly EMR software on the market currently. Its booking features are endless with capabilities to move appointments, cancel and list the reason, delete appointments, etc.
Cons
I do not like that it is one of the few EMRs I have used that does not display who cancelled or made an appointment so we have to write our names in the notes of the appointment.
