The best expense management system I've ever used

We get great visibility of our employees T&E spend. We have built great controls with Payhawk to ensure that the burden of travel administration falls onto each employee and not the finance team. As there are late receipt system controls in place, this means that employees have to comply with receipt deadlines without it being policed by the finance team. All receipts and payments are automatically sync'd with our finance system which is seamless.

Pros

The product is very easy to use. The integration with NetSuite is a game changer for us. It couldn't be easier for employees to upload their receipts. They are constantly releasing new features to ensure they provide the best product for customers.

Cons

Its hard to think of any as new feature updates have solved previous weaknesses. The only con is that you can only have credit cards with Payhawk US and debit cards are not supported.

PayHawk user - accounting side

PayHawk is a good product, although it´s quite a bit hard for us in Accounting because people don´t upload the receipts or invoices

Pros

Easy to use for users but sadly not for accountants

Cons

We are always late reconciling the account because people don´t upload documents. It make me appreciate the traditional liquidation process, PayHawk should improve on this side.

Payhawk Feedback

When there are no exceptions and you do not need to adjust something in your own administration it works well. However from the moment something needs to be adjusted the impact is quite high on your previous administration.

Pros

It is nice it can be used across teams. Customer service is always very friendly

Cons

- Layout of expenses is quite unclear, you can not easily see what team made what purchase- When adjusting one of the information (categorization) fields this has directly impact on all previous purchases as well. This makes the impact of adjusting quite high. It would be nice if you for example could point out that the information fields such as selecting the date from when you would like to see it change in stead of for the whole administration- The info fields sometimes just change or get empty while typing- Even when adding suppliers to the list of suppliers it still adjust every-time you add a new purchase from the same supplier. When you are thus not focussed on adjusting this you end up with a great amount of supplier accounts for the same supplier (for example 5 versions of the a realtor supplier)- I feel that the interface of the company expenses is quite hectic. A lot of information is displayed but not the information you might want to see there. It would for example be nice if you could adjust the selected fields you see instead of only being able to see the note added and category

Payhawk initial experience

Positive

Pros

Easy resolution via the online chat. The person that assisted me was very patient and run different investigation to be able to resolve the issue.

Cons

Response time, despite an initial contact was made immediately, it took 1.5 day to resolve

User friendly but still a few features to improve

Pros

Very user friendly and easy to integrate with Xero.

Cons

Still features to improve: Allow the import of suppliers and their bank details so this doesn't need to be entered manually.Their scanning system needs improvement too.

Easy to use & great service

Pros

The software is very easy to use. The service & help provided is amazing.

Cons

Sometimes Payhawk thinks it recognized the right supplier. While I have told it multiple times that the supplier has another name. It doesn't seem to 'learn' this.

Has become essential to the operation of our business.

We have a high volume of transactions across many, short-lived projects. Payhawk keeps our teams on budget and in control of spending.

Pros

Immediate access to spending, oversight for management, reduces friction of collecting paperwork.

Cons

The UI of the website can be cumbersome and prone to breaking completely. Customer service can be slow or uncooperative at times.

Great card management system

Pros

Easy to use, makes very easy for the accounts department to track and chase for receipts on company purchases, two-step authentication is a livesaver when it comes to fraud prevention.

Cons

There is no option to archive and hide old cards. The setting up of the custom ERP process was complicated.

Payhawk Mobile End User

The mobile app is great and the web interface is equally slick.

Pros

I've been exposed to multiple different expense management tools over the years, and Payhawk beats them all. Simple, quick and no excuses for lost receipts or complex management of expenses. Its quick and simple from an end user perspective, which means I can process each expense as soon as it occurs and know that I will get reimbursed.

Cons

Receipt scanning could be a little slicker and automatically crop just the receipt instead of capturing the whole image.

Game Changer

Pros

Real-time spend approval & management across a large quantity of projects is an invaluable tool. I don't know how we ever managed without it.

Daily user

Pros

It is so easy to set up different levels and processes for different approvals. It is a clean and clear interface that does not require lots of training to understand how it woks- it is intuitive.

Cons

No slack integration. It would also be great to see a confirmation after approving, a little box appears saying 'successful', or 'Great! Sent for secondary approval' rather than the requests in Pending just disappearing into the other tab with no info.

Fantastic all-in-one expense platform

Overall experience has been excellent with the customer service always being available and ready to help

Simple interface and highly customizable in the way it integrates with Xero.

Cons

The invoice capturing could be improved. Ideally it will convert emails into receipts when appropriate and have a personal inbox so no messages are missed

Payhawk helps to manage company accounts more easily

It is always to easy to use Payhawk and at the same time if you have questions you will always receive pleasant customer support from their team.

Pros

Different virtual bank accounts on Payhawk for each employee. Easy to manage and transfer money.Amazing customer service.
