# Contractpedia

Canonical: https://www.softwareadvice.com.au/software/242786/contractpedia

> You can't manage what you can't see.

Most small and medium-sized businesses don't have a contract management problem — they have a visibility problem. Contracts get signed and forgotten. Renewals happen automatically because no one flagged the deadline. Suppliers charge more than agreed because no one checked the original terms. Subscriptions run for months past their useful life because cancelling them was never anyone's priority.

The cost of this isn't dramatic — it's slow and quiet. A few hundred euros here, a locked-in agreement there, a renegotiation window missed by two weeks. But it adds up, and it's entirely avoidable.

What Contractpedia does

Contractpedia is contract management software built specifically for SMEs and SMBs. It gives business owners, finance managers, and operations leads a single place to store, track, and manage every contract — supplier agreements, customer contracts, service subscriptions, and more.

The platform is designed to be used by people who aren't contract specialists. No legal background required. No IT support needed. You're up and running in minutes, and your whole team can use it without training.

The problems it solves

Forgotten renewals:
Contractpedia sends automatic reminders before every contract expiry and renewal date. You always have time to review, renegotiate, or cancel — before the window closes and suppliers gain the upper hand.

No contract overview:
Every contract lives in one centralized repository — searchable, filterable, and accessible to the right people. No more scattered folders, email threads, or spreadsheets that only one person understands.

Costs you can't track:
See exactly what each contract costs, broken down by fee, billing period, and year. Track spend across your entire portfolio and spot waste, duplicates, and savings opportunities before they become problems.

No clear ownership:
Assign any contract to a specific team member so responsibility is always clear. No contracts sitting in a grey area with no owner.

Signature delays:
Contractpedia integrates with DocuSign so you can send contracts for eSignature directly from the platform — keeping the entire process from draft to signed in one place.

Tasks that fall through the cracks:
Built-in to-do management lets you create and categorize tasks linked to specific contracts. Contractpedia also generates automatic to-dos for expiring contracts, so follow-ups never rely on someone remembering.

Key features

Centralized contract repository
Automated renewal and expiry reminders
Contract timeline with termination deadlines
Cost tracking per contract and across portfolio
Supplier and customer contract management
DocuSign integration for eSignature
Contract ownership assignment
To-do management with automatic expiry tasks
User roles and access permissions
GDPR-compliant, Contractpedia is from Denmark

Who uses Contractpedia?

Contractpedia is used by SMEs and SMBs across professional services, retail, education, sports organizations, financial services, and other sectors where contracts are a regular part of operations — but contract management isn't a dedicated function.

It's the right fit if you're currently managing contracts on spreadsheets, shared drives, or email — and you know it's only a matter of time before something slips through.

Getting started

Cloud-based, no installation required. Try Contractpedia free for 30 days — no credit card, no commitment.

> **Pros**: The software have some good tools, to manage contract flows from start to end. It give a good cost overview of contracts, digital signing makes it easy to handle contracts and a lot of reports are possible.
Asset management is a bonus as well.
>
> **Cons**: You allways want reports, that fit your business needs, so maybe some more reports
More integrations with other programs, like Docusign, would be a bonus.
>
> Contractpedia have helped our Basketball club with our contract management, where Excel gave up. We can have all our contract and relevant information in one place, no matter where we are. Before information was on different local computers.
