# RotaBot

> RotaBot is staff scheduling software for managers who are tired of spending hours manually building and rebuilding weekly rotas.

It was developed from the experience of managing a real hospitality venue, where creating a rota meant balancing staffing demand, contracted hours, employee availability, approved leave, roles, training, fixed shifts and day-to-day operating rules every single week.

Instead of asking the manager to place every shift manually, RotaBot automatically generates the weekly rota around the requirements of the business.

Managers define when and where staff are needed, along with the relevant scheduling rules. RotaBot then uses mathematical optimisation to build the schedule while respecting mandatory constraints such as availability, approved leave, roles, training, shift limits and pinned shifts.

Once the rota is generated, the manager remains in control. They can review the week, make adjustments, pin shifts that should remain fixed and publish the completed rota for staff to view.

RotaBot also includes adaptive learning. Confirmed patterns from previous manager edits can influence future schedules, helping the system reflect how the business is actually operated over time. These preferences remain subordinate to hard operational constraints and cannot change employee availability, approved leave or other mandatory rules.

RotaBot is particularly suited to hospitality businesses, restaurants, cafés, pubs, leisure venues, retail operations and other shift-based organisations where staffing requirements vary throughout the week.

Typical users include general managers, operations managers, venue managers and business owners who understand how they want their business staffed but would rather not manually calculate the entire rota each week.

RotaBot has already been used to generate and publish live staff rotas in a real operating venue, replacing the manual weekly scheduling process.

The scheduling engine is built using Google OR-Tools CP-SAT and a Python backend, with a web-based management interface for configuring, generating, reviewing and publishing rotas.

RotaBot is currently provided through a demonstration and onboarding process rather than self-service signup. This allows the scheduling setup and business rules to be configured with the customer before they begin generating rotas.

Support is provided directly during onboarding and use of the product.

RotaBot is designed for businesses that want more than a digital rota grid: it is built to calculate the week automatically while keeping the manager in control of the final schedule.
